For many of us, sorting an Excel spreadsheet alphabetically means clicking the A→Z or Z→A buttons in the Sort & Filter group and moving on with our day. I used to think that was the extent of what Excel's sorting tools could do, and I had no reason to think otherwise because it always got the job done.
Then one day, while staring down a spreadsheet that refused to make sense no matter how many times I clicked those sort buttons, I discovered a dialog box I'd been ignoring. If you regularly work with large spreadsheets, the Sort dialog is an essential tool that deserves a place in your toolkit, and you really can’t afford to ignore it.

Stop choosing between sorting by one column or another
Imagine a spreadsheet with a Department column and an Employee column, a few hundred rows deep. If you sort it alphabetically by employee name, your Marketing, Sales, and Engineering teams will end up tangled together in one long, undifferentiated list. Sort by department instead, and the names within each department remain in random order, forcing you to scan up and down every time you need to find someone. At the end of the day, it can feel like you're stuck choosing between two imperfect options.
But it doesn't have to be that way. Excel can sort by multiple columns at once, applying them in a sequence you control. You can group your rows by department first (if that's your first sort criterion), then alphabetize the names within each group. Excel treats your first sort criterion as the primary grouping level, then applies each additional criterion within the boundaries created by the previous one. You're not limited to two levels, either. Excel supports up to 64 sort levels, though in practice, two or three are enough for almost any spreadsheet.
Using multi-column sorting simply means opening the full Sort dialog instead of relying on the quick-access buttons. Click any cell within the range or table you want to organize, then head to the Data tab and select Sort (or Custom Sort, depending on your version of Excel) from the Sort & Filter group. Under Column, in the Sort by box, choose the first column you want to sort by and the order you want to apply, whether that's alphabetical (A to Z), numerical (Smallest to Largest), or chronological (Oldest to Newest).
Next, click Add Level to introduce a second column, and repeat the process for any additional columns you want to include. Each one gets its own Then by box. When everything is set, click OK, and Excel will reorganize your data according to the order you've specified.
If the results aren't quite what you expected, use the up and down arrows in the dialog box to change the order of your sort levels. Excel always processes the level at the top first, so rearranging them changes which column takes precedence.
A few sorting tricks worth knowing
Headers, custom lists, and your sort priorities make a bigger difference than you might expect
Once you've got the basics of multi-level sorting down, there are a handful of smaller details worth keeping in mind. The first is something that's easy to overlook: make sure you check the My data has headers box before you sort anything. If you skip this step, Excel will treat your column titles as just another row of data and shuffle them into the middle of your spreadsheet along with everything else.
Another useful feature is that sorting isn't limited to text or numbers. Instead of the default Cell Values option under Sort On, you can sort by cell color, font color, or icon sets, which comes in handy if you've been color-coding priorities or applying conditional formatting to flag certain items. Since colors don't have an inherent order the way letters or numbers do, you'll need to tell Excel whether a particular color belongs at the top or bottom for each sort.
For instance, if you want to sort by an icon set with three colors, you'd need an initial sort to place green on top and a second sort to place yellow on top. Naturally, red will be at the bottom without any sort required. And you can do this in any order you like.
Custom lists under the Order setting are another feature that's well worth using. Say you're sorting priority levels labeled High, Medium, and Low. A standard alphabetical sort places High first, followed by Low and then Medium, which isn't the order most people expect. Selecting Custom List from the Order dropdown lets you define the exact sequence you want, so your data follows real-world logic instead of the alphabet.
If a sort ever comes out looking scrambled or not quite the way you expected, it's usually a priority issue rather than a problem with Excel. Reopen the Sort dialog, check the order of your sort levels, and use the arrows to move them around until the hierarchy matches what you had in mind. It's a quick fix, and the same approach works whether you're organizing a small spreadsheet or working with a massive dataset that uses dozens of sort levels.
The easiest Excel upgrade you'll make
Multi-column sorting may not be one of Excel's power features, but it's one of the easiest ways to save time when you're working with large amounts of information. Once you realize Excel can organize your data in multiple layers instead of forcing you to choose a single column to sort by, it's difficult to go back to relying on the basic A→Z and Z→A buttons alone.
It takes only a few extra clicks to set up, but those clicks can make even the largest spreadsheets much easier to navigate and manage.
